NCRA Conference & Expo - Exhibitor Information

Service kit information

You will be receiving an email from Alliance, NCRA’s official exhibit service contractor, with a link to the Exhibitor Service Kit. Please pay close attention to the deadlines listed to ensure you obtain the lowest possible cost for orders of your exhibit booth furnishings. If you do not receive this email and link, please email Mary Quigg at mary.quigg@conferencedirect.com.

Insurance

All exhibitors and their appointed contractor (if applicable) must provide proof of general liability coverage with minimum limits of $1,000,000 per occurrence and $2,000,000 in all for the duration of the Expo (including move-in and move-out dates). The certificate of insurance (COI) must name NCRA and Hyatt Regency Minneapolis as additional insureds.

Should you not have insurance, a limited policy may be obtained through ABMA for $65.00 plus tax by completing and submitting this application. All certificates must be sent using the form below immediately, or you risk not being able to set up your booth. Deadline is July 5, 2025.

The COI must include the following information:

• Minimum policy limits of $1,000,000 per occurrence and $2,000,000 in all for the duration of the show (July 24 - 26, 2025)
• Named insureds must include NCRA and Hyatt Regency Minneapolis.

Booth Staff registration

Two staff persons are allowed per booth. (One additional booth staff registration per 10’ x 10’ booth may be purchased at a cost of $200).

Please use the form below to register your booth staff as soon as possible, or no later than 12 p.m. Eastern, June 7, to be included in signage and to avoid waiting for your badge to print at the Conference.

Booth information

Your exhibit booth includes:

• 10’ x 10’ booth with 8' high grey and white backdrop, and 3' high white side drape
• One 6’ white draped table; two side chairs; one wastebasket
• Carpeted Expo Hall
• Booth ID sign with company name and booth number
• Two “booth staff” registrations that include the Welcome Reception (Booth staff passes do not provide admission to other programming or social events. If you would like to purchase a full or partial Conference registration, visit  NCRA.org/Conference for the packages available and to register.)
• Exhibitor recognition
  • Your primary logo and company description on the 2025 NCRA Conference & Expo Mobile App
  • Company recognized on event signage and screens
  • Recognition on the NCRA website and in social media

Additional important information

Sales tax

Sales tax varies from state to state, and each conference carries different tax reporting requirements. Each exhibitor is responsible for obtaining, reporting, and paying the sales tax to the state in which the NCRA Conference & Expo is being held.
